Team Management

Invite users to your IndexMind workspace, assign roles (Owner, Admin, Editor, Viewer), and manage team member access to projects and reports.

IndexMind supports multi-user workspaces with role-based access control. The workspace owner can invite team members, assign roles, and remove users from the Settings page. Team size limits depend on your plan: Free allows 1 user, Starter allows 5, and Pro allows 25.

Owner

One per workspace. Full control over billing, team, projects, and settings. Ownership can be transferred to another Admin by contacting support.

Admin

Full project and team management access. Admins can invite members, change roles, and configure integrations. They cannot access billing or delete the workspace.

Editor

Can create projects, run analyses, and work with reports and recommendations. Editors cannot manage team members or integrations.

Viewer

Read-only access. Viewers can browse dashboards, reports, and scan history. They cannot start analyses or modify any settings.

How to invite a team member

  1. Open Settings

    Navigate to Settings from the sidebar.

  2. Go to the Team tab

    Select the Team tab to see your current members and available seats.

  3. Click Invite Member

    Click the Invite Member button. Enter the person's email address and select a role from the dropdown.

  4. Send the invitation

    Click Send Invite. The invitee receives an email with a link to join your workspace. The invitation expires after 7 days.

Invited users who do not have an IndexMind account will be prompted to create one using the same email address. Their account is automatically linked to your workspace once they complete sign-up.

How to change a member's role

  1. Go to Settings > Team.
  2. Find the member in the list.
  3. Click the role dropdown next to their name.
  4. Select the new role.

Role changes take effect immediately. The affected user may need to refresh their browser to see updated permissions.

How to remove a member

  1. Go to Settings > Team.
  2. Find the member you want to remove.
  3. Click the Remove button (trash icon) next to their name.
  4. Confirm the removal.

Removed members lose access to the workspace immediately. Their past activity (analyses they ran, comments they left) remains in the workspace history.

Transferring workspace ownership

Ownership transfer is available by request. The current owner must email support@indexmind.com from their registered email address and specify the new owner's email. The new owner must already be an Admin in the workspace.
