Crawls and probes

How often do crawls run?

Crawls can be triggered manually or configured on a schedule. The frequency available to you depends on your plan tier:

You can configure scheduled crawls from Project Settings > Schedule.

Can I trigger a manual crawl?

Yes. From the project dashboard, click Run Crawl to start a crawl-only job, or Run Full Analysis to run a crawl along with AI probes and scoring. Manual crawls count toward your monthly crawl limit.

What is the difference between a crawl and a probe?

  • A crawl scans your website pages to analyze technical health, content quality, schema markup, and other on-page factors.
  • A probe queries AI models with your target keywords to check if they mention, cite, or recommend your website in their responses.

Together, crawls and probes give you a complete picture of your AI visibility. This includes how your site is built and how AI systems perceive it.

AI models and data

What AI models does IndexMind probe?

IndexMind probes multiple AI engines including ChatGPT, Perplexity, and others to measure your visibility across the AI ecosystem. The platform checks whether these models mention, cite, or recommend your website when responding to queries related to your target keywords.

Is my data used to train AI models?

No. Your data is only used to generate your reports and recommendations within IndexMind. We do not share your data with third-party AI model providers for training purposes. Your crawl data, probe results, and business context remain private to your organization.

Team access

Can multiple users work on the same project?

Yes. Team members within the same organization can access all projects. Role-based access controls determine who can modify settings:

Billing

How do I upgrade my plan?

Navigate to Settings > Billing or visit /app/billing. You can upgrade at any time and changes take effect immediately. Your billing cycle adjusts pro-rata for the remainder of the current period.

Exports and integrations

Can I export my data?

Yes. IndexMind supports multiple export options:

  • Reports can be downloaded as PDF or DOCX from the Reports tab.
  • Individual sections (AI Visibility, Sentiment, Competitor Analysis, etc.) support CSV and Markdown export via the download button on each card.
  • Integrations allow you to share AI visibility and Search Intelligence findings directly to ClickUp, Jira, or other tools as structured tickets with actionable details.

What browsers are supported?

IndexMind works best in the latest versions of:

We recommend keeping your browser up to date for the best experience.

Project management

How do I delete a project?

Navigate to Project Settings and scroll to the Danger Zone section at the bottom of the page. Click Delete Project and confirm the action.

Project deletion is permanent and cannot be undone. All crawl data, probe results, reports, and history for the project will be removed.

Search Intelligence and Google Search Console

How often does GSC data sync?

IndexMind syncs your Google Search Console data during each scheduled sync. New search performance metrics, URL health checks, alerts, and opportunities are updated after each sync completes.

What historical data range does Search Intelligence use?

IndexMind stores up to 90 days of daily query data for trend analysis. Winners/losers comparisons use a 7-day-vs-prior-7-day window by default.

Can I switch which GSC property is connected?

Yes. Navigate to Project Settings > Google Search Console and disconnect the current property, then re-authorize to connect a different GSC property.

Do I need special permissions for URL Health?

URL Health uses the Google URL Inspection API, which requires the full webmasters scope. If you connected GSC before URL Health was available, you may see a prompt to re-authorize with the expanded scope.
